Conditions of Hire
All equipment hire is subject to the following terms and conditions, and by entering into a hire agreement with Emmanuel College Music Society, the hirer agrees to acknowledge and abide by any requirements as detailed below.
All borrowed/hired items remain the property of Emmanuel College Music Society.
Priority for the use of any hireable item is with members of Emmanuel College Music Society and Emmanuel College.
All hired items should be treated with due care and attention.
The item being hired should only be used by individuals who are competent to do so.
Equipment and instruments should be inspected at the time of collection and any pre-existing damage identified. If items are found to be damaged on return, and the defect has not previously been pointed out, the society reserves the right to reclaim the full cost of repair or replacement from you.
Secure storage of the hired items is the responsibility of the individual/organisation hiring it. Costs arising from any loss or damage will be the responsibility of the individual or organisation undertaking the hire.
Equipment and instruments must only be used in the location, and for the purpose agreed by the individual/organisation hiring the items. In no case should instruments be taken out of the precincts of the University of Cambridge without express permission from the Treasurer of Emmanuel College Music Society.
Transport of hired items is the responsibility of the individual/organisation hiring the items, and any vehicle used must be suitable for purpose. In particular, it should be noted that the drum kit is a bulky item with several delicate components which requires a large people carrier or van to transport.
No liability is accepted for injury/loss occurred in the usage, transport, or carriage of any hired instrument, however caused.
Any claim for cancellation of any booking by Emmanuel College Music Society will be limited to the cost of the hire, which will be refunded by us in full.
The hirer must arrive promptly at the agreed pick up and return times (with a 15 minute grace period to account for errors in estimating journey times). Failure to do so may result in additional charges being levied1. Emmanuel College Music Society may allow the hirer a grace period of up to one hour at its discretion. If it becomes apparent that the agreed time for pick up or return is no longer suitable, the hirer must contact the Emmanuel College Music Society immediately to arrange an alternative mutually agreeable return time. This will be subject to the availability of members of the Emmanuel College Music Society committee to supervise the transfer the equipment.
In no case may hirers attempt to collect or return hired items without the direct supervision of a member of the ECMS committee.
1. During May Week, the additional charge will be £10 per every hour, or part thereof. Outside of May Week, the treasurer may at their discretion charge a further full day's hire, depending upon the circumstances surrounding the delay, the severity of the delay and the demand for the items that have been hired.
